Karibu Kenya (Welcome to Kenya)

Our Women Embrace Adventure Host and Adventure Out Loud Driver will meet you at the airport for transfer to our boutique guest house, where you can spend the day settling into your new surroundings and relaxing after your long flight. Tonight, we will have our welcome dinner with the entire team. We will also meet with Tommy and Judy Nyawir who will share their story of growing up in the Kibera Slums, forbidden love, and a journey to starts an organisation that made a difference in their community, resulting in the founding of the heart warming Mirror of Hope, a community based organisation empowering vulnerable women and children in Africas largest slum through education, health and entrepreneurship. A perfect way to get ready for an adventure of a lifetime!
SUN 8 SEP 2024 – DAY 2
Safari: Nairobi National Park
Location: Nairobi, Kenya

Today we will kick start our safari adventure with an unforgettable safari in Nairobi National Park. We will be collected from the hotel at 6am and drive to the park, where we will witness diverse species such as the endagered black and white rhino, lions, leopards, cheetahs, hyenas, buffalos and girraffes roaming freely against the backdrop of Nairobies skyline.
After our early morning safari we will head to the David Sheldrick Elephant Orphanage and the Nairobi Giraffe Centre. This is our chance to get up close and personal with these incredible animals and learn about these organisations' wonderful conservation work.
We then head to the life-changing Mirror of Hope (MOH) in the Kibera Slums for a special lunch and sharing session with some of the most inspiring and resilient women in the world. Many of these women are single mothers working hard to provide a better life for their children. This will be our opportunity to hear their stories, share our own, and learn from each other.
After our adventure filled day, we will head back to our accommodation in time to relax and enjoy a meal together.
MON 9 SEP 2024 – DAY 3
Cultural immersion with the life changing Mirror of Hope

At 9am we will be picked up from our accommodation and taken to Kibera to explore the sights and sounds of Africa's largest slum under the guidance of the life-changing Mirror of Hope (MOH) team. Visit the home of one of the women the MOH work with, meet her family and learn how to cook a delicious Kenyan feast. This is the perfect opportunity to immerse in Kenyan culture, practice your Swahili and get to know some of the most resilient and remarkable people on the planet.
In the afternoon, you will join the Mirror of Hope team at a local bar for a beer and snacks.
Today we have the opportunity to have lunch at Kibera, this means purchasing groceries on our way to cook with the family we will be visiting. A unique opportunity that we will discuss the night before with the Mirror of Hope team.

Safari in the world famous Masai Mara

Welcome to Africa's best safari destination! The Masai Mara adjoins the infamous Serengeti National Park and is home to the most spectacular natural show on earth - the Great Migration.
A Masai Mara safari gives us the best chance to spot all of Africa's exotic safari animals, including the Big 5 - lion, leopard, rhino, buffalo and elephant. You may even hear these animals as you relax around an open fire, eat dinner under the stars or from the safety of your tent.
During your safari, we'll live at a secluded luxury wildlife camp in the heart of the Masai Mara where you can often spot zebra, elephant, wildebeest and many other animals from the balcony of your private tent.

We are in the Masai Mara during the Great Migration, and given we are there for four days, we are confident you will see a crossing, but we cannot guarantee it. These are wild animals, and we have no control over them.

Want to experience a safari from the air? Why not add a hot air ballooning safari?
This once-in-a-lifetime experience sees you high in the sky for sunrise as you glide across the open Savannah in search of Africa's most exotic animals.
What a fantastic opportunity to see animals from a completely different point of view! The experience runs from 4 am-10:30 am, and the in-air experience lasts 45 - 60 minutes.
After your flight, you'll enjoy a bush breakfast on the picturesque Savannah plains of the Masai Mara, typically under the shade of a Balanite tree. Breakfast includes eggs-to-order, sausages, fresh juices, fruits, cereals and, of course, sparkling wine.

After an early morning game drive, we will tour a local Maasai Boma.
The Maasai are a nomadic tribe found across East Africa. The Maasai are most iconic for their colourful clothing and interesting traditions. Historically the Maasai are grazers with large herds of cattle, sheep & goats.
Today is our chance to learn about and immerse in this unique culture. Take a tour around the Boma, see inside a local mud hut, and meet these interesting, nomadic people. This is a fantastic experience and a great way to finish our fabulous time in the Massai Mara.
After our final lunch at the lodge, we will drive back to Nairobi. Arriving, we will bid farewell to our drivers and get ready for the second half of our amazing adventures. Rwanda and Uganda.
SUN 15 SEP 2024 – DAY 9
Make your own adventure in Nairobi

Today is our opportunity to relax and re-energise after our safari and prepare for the second half of our epic adventure – Rwanda and Uganda. If you are feeling tired, feel free to relax at the lodge, otherwise, if you are feeling energetic a bus will be available for us for the following:
9 - 10:30am: visit the Giraffe Centre
11am - 12:30pm: Visit Kazuri Beads, a fantastic charity empowering impoverished women by hand-crafting unique jewellery. At Kazuri Beads, you will take a quick tour, meet the women and have an opportunity to purchase some of their beautiful clay necklaces, bracelets, places and other products.
We then will have a free afternoon followed by dinner at Haru Japanese restaurant to celebrate our time in Kenya.
Lunch can be purchased at the Giraffe Centre, Kazuri Beads or at the lodge.
MON 16 SEP 2024 – DAY 10

Rwanda is called the land of 1,000 hills, and even the views from Kigali are amazing.
Our Adventure Out Loud Guides will meet us at the Kigali International Airport when we land for hotel transfer. Relax by the pool or enjoy a little R&R at Heaven's Spa in the afternoon.

TUE 17 SEP 2024 – Day 11
Rwandan Genocide memorial
Location: Kigali, Rwanda

This morning we visit the Rwandan Genocide Memorial. The visit can be an extremely confronting but educational experience telling the story of an international disaster that could and should have been prevented.
We HIGHLY recommend you pay for an audio guide at the Rwandan Genocide Memorial, which is US$30/guide (at your own cost)
After lunch, we visit the Ntarama Genocide Memorial. During the Rwandan genocide, many Tutsis hid in churches believing they would be safe there. Unfortunately, the sad reality is that congregating in these churches made it easier for them to be slaughtered in mass. Ntarama church was one of the most gruesome massacres.
If you want to opt out of these tours, spend the day relaxing at our hotel or exploring Kigali city at your own cost.
WED 18 SEP 2024 – DAY 12
Drive to Lake Mutanda

Today we drive to Lake Mutanda, Uganda. The drive will take approximately 4 - 6 hours, including an international border crossing. This is a beautiful drive, and you will have plenty of options to stop along the way, including for lunch.
Mutanda Lake Resort is very remote. Set on the banks of Lake Mutanda, a small freshwater lake with stunning views out to the extinct volcanos that dot the Rwanda, Uganda and DRC border, Mutanda Lake Resort offers a truly unique experience. It is one of the most beautiful places in Africa. This will be our base for the next few days.
THUR 19 SEP 2024 – Day 13
Trek with Golden Monkeys
Location: Bwindi Impenetrable Forest, Uganda

Today is our chance to trek with golden monkeys. Golden monkeys are easily recognisable primates with a golden-orange patch on their upper flanks and back. They are found in the Virunga volcanic mountains of Central Africa, including four national parks: Mgahinga, in south-west Uganda; Volcanoes, in north-west Rwanda; and Virunga and Kahuzi-Biéga, in the eastern Democratic Republic of Congo.
FRI 20 SEP 2024 – DAY 14
Trek with the Mountain Gorillas

Gorilla trekking in Africa is one of the world's most moving and exclusive experiences. And because the gorilla is an endangered species, they can only be found in some protected national parks in East Africa. And today, we are the lucky few who experience them up close and personal.
To see primates in their natural habitat is a truly life-changing experience.
Mountain gorillas live in forests at elevations of 2,000 - 4,000m. They have thicker fur than other great apes, which helps them to survive in a habitat where temperatures often drop below freezing. Approximately 1,000 of these fascinating creatures are left in the world, and Bwindi National Park in Uganda is home to about 400 of them. Today is your chance to trek with one of the most unique animals on the planet.
The trek distance depends on how far away the gorillas are and can vary from 1 - 6 hours. Trek groups are capped at eight people/gorilla family, and for less mobile people, we will do our best to send you to one of the closer and more accessible families. The trek is often through thick forest, and it is advisable to wear hiking boots, a long sleeve shirt and hiking pants. You will also need rain gear and a full packing list is provided when you register.

Do I need travel insurance to join this trip?
Yes, Comprehensive travel insurance is compulsory for everyone taking part in this trip.
Your travel insurance must cover:
· accidents, injury, illness and death medical expenses, including any related to pre-existing medical conditions,
· emergency repatriation (including helicopter rescue and air ambulance where applicable)
· personal liability.
We also suggest it covers cancellation, COVID-19, curtailment and loss of luggage and personal effects.
You should also ensure your policy covers all of the adventure activities included in your itinerary, including trekking and camping without technical gear up to 6,000m (for Kilimanjaro) and wildlife experiences.
You must provide proof of insurance to Women Embrace Adventure and Adventure Out Loud Pty Ltd prior to departure.

Does this tour include International flights?
No, you are responsible for all flights needed to partake in this adventure.
I am a single traveller; will I need to pay a single supplement for this trip?
The price of this trip includes twin share accommodation. If you are travelling by yourself, you will be sharing a room/tent with another adventurer.
We will endeavour to pair you up with an amazing, like-minded WEA lady. Often half the fun of an adventure is having someone to share all the excitement with. Limited single supplement may be available, contact WEA at info@womenembraceadventure.com.au for applicable costs.
What Visas do I need for my adventure?
Requirements for travel visas vary widely depending on your nationality and your destination. We will share all information you need to know about visas, including links to apply, in plenty of time from our departure date.
Are airport transfers included in Africa?
Yes! Airport transfers are included for this tour. Your WEA host and or AOL guide or driver will personally meet you at the airport when you arrive and drop you at the airport on the last day of the trip.
What is the main currency used in Africa?
Each of the 54 countries has its own currency. We recommend you bring USD cash, we will help you convert into the local currency so you can purchase souvenirs, drinks, any meals not included, etc.
How do I purchase $US for my trip?
It is recommended that you purchase larger currency notes (i.e. US$100 and US$50 bills) from an exchange vendor or bank in your home country. Larger notes will receive better exchange rates in Africa when you convert to local currency. USD currency notes MUST be printed after 2006 and must not be ripped or damaged in any way.
Can I use a credit card or withdraw from an ATM during my adventure?
ATMs may not be readily available during our adventure, however, they may be available in capital cities.
Where possible, we try and take you to locally-owned shops, attractions and hotels to ensure the money you spend stays local. As such, most do not accept credit card payments and you will be required to pay with cash. We recommend you still bring a credit card for emergencies.
Do I need to tip in Africa?
Generally, most people working in the tourism sector in Africa will expect a tip. This means you should expect to tip your in-country guides, drivers and restaurant and hotel staff. The amount you tip varies across different countries. A tipping guide for each destination will be made available for you closer to our adventure so you are prepared. It is not necessary to tip WEA guides/leaders at any time.
Is Africa safe to travel?
Yes. Africa is made up of 54 independent countries and most, including all the countries we travel to, are safe to travel.
As with all travel, you must be cautious and follow the guidelines and recommendations from your local guides. From our experience, Africans appreciate and protect tourists. They love to immerse you in the culture and are proud to show you their country.
What is healthcare like in Africa?
Public healthcare is basic in most African countries. Each year it improves however medical centres and hospitals are often under-staffed and under-resourced. There are a number of reputable private clinics and hospitals and in the event you need treatment.
What Laws and regulations should I be aware of when visiting Africa?
Some laws in Africa are different to those in your home country. We advise you to understand the local laws before you visit and recommend you check the Smart Traveller website for up-to-date notifications.
Here are a few common differences:
· Single-use plastic bags are illegal in some countries. For example, in Kenya, possession of a single-use plastic bag may incur a penalty of up to $40,000 and 4 years in prison.
· Cash restrictions may limit the amount of cash you can carry in and out of their country.
· Women, children and animal rights are not the same as in developed countries.
· The possession of pornographic material is often illegal.
· Homosexual activity is illegal and penalties may include imprisonment.
· Penalties for drug offences are severe and include lengthy imprisonment.
· Photography around military zones, military assets and of military personnel is prohibited.
· Serious crimes, such as treason and murder, carry the death penalty.
· Penalties for some crimes, including rape and robbery with violence, include corporal punishment.
· Travellers are often prohibited from working or volunteering without a valid work permit.
· Destroying local currency is against the law.
· Smoking in public places may be banned and fines and imprisonment may apply.
· Possession of ivory, even in the form of jewellery purchased outside of Africa, is strictly prohibited.
· Distributing religious material in public without a licence is illegal.
Visitors are also encouraged to remember that some Australian (or your home country) criminal laws, such as those relating to money laundering, bribery of foreign public officials, terrorism, forced marriage, female genital mutilation, child pornography and child sex tourism, apply even while you are overseas.
What policies are in place for my safety in Africa?
Your health and safety are our number one priority! We proactively manage health and safety risks before, during and after your adventure and we have developed and implemented a range of safety policies and procedures to ensure you have a memorable and safe adventure.
Here are a few examples:
· WEA and AOL have built a team of professional local guides and drivers who have extensive experience living and guiding in the regions you are exploring.
· We avoid major tourist attractions, shopping malls and areas that might be a target.
· We stay in local boutique guest houses that aren't known for accommodating Westerners. This also ensures profits stay in the communities we visit rather than heading overseas to a large international company.
· WEA and AOL perform a detailed risk assessment for every activity and every adventure. This assessment is updated throughout the adventure and itineraries are kept flexible to ensure activities, or entire adventures, can be cancelled or amended where an unacceptable risk is identified.
· We keep groups small and manageable
· We only use providers who we trust and have previously built a good relationship with over many years.
· WEA & AOL carry all of the necessary insurance.
What if I get injured or sick during the adventure?
Our guides are trained in First Aid and will be able to help with minor injuries or illnesses. If your condition is more serious, we will take you to the closest reputable medical clinic or hospital for treatment. If your condition is very serious, you may be required to be evacuated to another country, or even back to your home country. You will be required to personally cover any costs associated with your treatment and/or evacuation and it is mandatory for you to purchase comprehensive travel insurance to protect you against this unlikely event.
What immunisations, vaccinations and medications do I need to visit Africa?
It's important that you receive the most accurate and up-to-date travel and health information for the region you are visiting by booking an appointment with a certified travel doctor at least 3 months before departure.
When visiting your doctor, let them know which specific countries and regions you are visiting by printing your itinerary and giving them a copy.
At a minimum, you will need proof of your Yellow Fever immunisation to enter most African countries and to re-enter Australia. We also recommend you bring medication for malaria and traveller's diarrhea at a minimum.
How do I find a travel doctor?
Travel medicine is very specific and we highly recommend you see a certified travel doctor. If you don’t have a travel doctor, you can find one on the Travel Medicine Alliance website.
Can I buy medications during my trip?
Yes, but we do not recommend this for two reasons:
We cannot guarantee the medicine is authentic.
Most of your itinerary is in remote areas, many hours’ drive from a pharmacy/hospital. You should bring all the medication that you think you might need during your adventure with you. If you need to interrupt your adventure to visit a hospital or pharmacy, you will be responsible for covering any additional costs.
How prevalent is malaria in Africa?
Malaria is prevalent across most of Africa but not on Mt Kilimanjaro, or other areas above 2,500m.
How do I minimise the risk of catching malaria while in Africa?
To minimise your risk of catching malaria:
Discuss malaria prevention medication with your travel doctor.
Sleep under a mosquito net, wear long sleeve clothing and use mosquito repellent.
Is the water safe to drink in Africa?
Tap water is NOT safe to drink in Africa. Bottled and boiled water will be provided for you during your adventure. You will need to use bottles or boiled water even when brushing your teeth to lower the chances of becoming unwell.
I have a food allergy. Will this be a problem during my trip?
No. Many of our adventurers have allergies. Meals on Kili are freshly prepared and our team takes every precaution to ensure food is not cross-contaminated. During our safari and Gorilla trip, we eat at restaurants that will be able to accommodate most dietary needs.
Note: If you carry an EpiPen you will be required to bring two, one for yourself and one for your guide to carry.
How do I keep my passports and cash safe during my adventure?
We recommend that you keep your passports and cash out of sight in your locked room, preferably in a locked bag or cupboard. You should also have a copy to carry around with you and save a copy online (i.e. in your email or on Google Drive, etc.). Cash should be hidden in multiple locations to avoid the risk of theft.
How do I minimise the risk of becoming ill in Africa?
· Drink bottled water
· Wear footwear at all times
· Have regular showers
· Use hand sanitiser before and after you eat
· Avoid eating uncooked food, particularly washed salads and food from unknown vendors
· Use mosquito repellent, malaria treatment medication, sunscreen and appropriate clothing.
How much spending money will I need during my adventure?
Our adventures are mostly all inclusive. This means that all of the big items are already covered in your adventure fee (i.e. accommodation, activities, transport, most meals, etc). We recommend you budget US$50/day to cover other incidentals such as tips, visas, souvenirs, drinks, tips, etc.

Hot tips For Gorilla trek....
Wear in your footwear to prevent blisters.
Test your boots are waterproof by testing in a 7-10cm puddle/bucket and spraying with a hose for 1 minute.
Disposable bottles are prohibited. Possession incurs a US$5/day fine. Long, thick pants are essential as you may need to trek through stinging nettle.
Long sleeve, moisture wicking, dark clothing is best.
Temperatures can vary from 7 - 27 degrees Celsius so bring a jumper.
Gorillas live in high-altitude forests, often 2,500m above sea level. It is possible, but unlikely, you may feel mild altitude sickness.
Rain gear is essential.

East Africa is a conservative region. Always wear clothing that covers your knees and your shoulders when in public.
Temperature range between 10 - 30 degrees Celsius.

Travel insurance is mandatory and can be invaluable if you need to change your plans, or become ill or injured before or during your adventure. You are required to source and purchase travel insurance upon booking. We will ask you to provide proof of your purchase including company name and policy number. You'll need travel insurance coverage for the duration of the booking period until the completion of the adventure. Ensure the insurance will cover you for cancellation, change of travel plans, evacuation and repatriation.
All current government safety and health guidelines at the time of booking and departure must be adhered including all Covid-19 requirements. Any additional costs related to but not limited to government travel restrictions and third-party changes are the responsibility of the individual traveller and not Women Embrace Adventure. If this trip is undersubscribed or in circumstances where external events affect the viability or safety of this trip to go ahead, Women Embrace Adventure reserves the right to cancel or reschedule and to exclude/remove any participants from this trip. Your booking is non-transferable.

In registering for one of our adventures and paying your deposit, you agree to be bound by these conditions which constitute the agreement between Women Embrace Adventure/Embrace Escapes Pty Ltd (WEA) (ABN 83620632215) and you. No purported variation of these conditions will be effective unless in writing and signed by a person so authorised by WEA. In these terms and conditions reference to “WEA representatives” means tour leaders and staff of WEA and its officers, employees, agents, licensees, guides and other third parties and representatives and the land management authorities in each country in which the tour is conducted, or any of them. WEA has partnered with Adventure Out Loud Pty Ltd (ABN 85 124 320 529) for this adventure.

Personal travel insurance is not included in the tour price. Adequate and valid travel insurance is compulsory for all WEA Pty Ltd travellers. Your travel insurance must cover:
· accidents, injury, illness and death medical expenses, including any related to pre-existing medical conditions,
· emergency repatriation (including helicopter rescue and air ambulance where applicable)
· and personal liability.
We also suggest it covers cancellation, COVID-19, curtailment and loss of luggage and personal effects. You should also ensure your policy covers all of the adventure activities included in your itinerary, including trekking and camping without technical gear up to 6,000m (for Kilimanjaro) and wildlife experiences.
You must provide proof of insurance to WEA prior to departure. WEA reserves the right to cancel or suspend your participation on a trip or in certain activities that comprise part of a trip, at any time, including after the commencement of your tour, with no right of refund, if you are unable to provide proof of insurance when requested.
3. Evacuation or withdrawal from tour
In the unlikely event of an evacuation or withdrawal from any tour, WEA and Adventure Out Loud Pty Ltd reserve the right to pass on costs incurred, including transport, logistical support and communications. Clients should submit these costs to their travel insurance company as part of their claim. Clients who have to withdraw from the tour for medical or any other reason, will be required to return to Australia on the first available international flight. They will also be required to meet any personal accommodation, transport and medical expenses incurred during their time away from their nominal home and claim these against their personal travel insurance policy. WEA and Adventure Out Loud Pty Ltd do not accept liability for any of these expenses.
4. Personal images and video footage
You agree that WEA Adventure Out Loud Pty Ltd may use video footage and images of you taken during the tour without recourse to you and without compensation to you, for publicity and promotion purposes through whatever medium it chooses. If you do not agree to using these images, you must inform us at the time of booking or via email info@womenembraceadventure.com.auprior to departure.
5. Personal information
In order to be able to supply our adventure service to you WEA will need to collect certain personal information from you. The information may be disclosed to, or collected on our behalf by, our service providers to enable the services to be provided but will not be used by them for any other purpose without your express permission.
6. Health & fitness requirements
You must be in good health and physical condition and are strongly advised to follow our pre-departure fitness training recommendations, where necessary. You will be required to submit a medical questionnaire which will be provided to you after booking. If you will be trekking above 2,500m during your tour, or you have a pre-existing medical condition, you will be required to have a medical doctor sign this form. You must return this form to us 60 days prior to departure.
Tours take place in remote areas where there is little or no access to normal medical services or hospital facilities for serious problems. Evacuation, where necessary, can be prolonged, difficult and expensive. Medical and evacuation expenses will be your responsibility. While we do not discriminate by age, due to the extreme nature of some of our tours, we strongly discourage participants over 79 years of age. WEA and Adventure Out Loud Pty Ltd reserves the right in its absolute discretion to refuse a participant.
7. Medical disclosure
It is your responsibility and you must advise WEA of any pre-existing medical condition and/or disability that might reasonably be expected to increase the risk of you requiring medical attention while on our tours. WEA or our suppliers may require additional medical assessment by a medical practitioner. WEA reserves the right, at its reasonable discretion, to cancel your booking and refund the money paid by you, less any unrecoverable costs. WEA also reserves the right to cancel your participation in a trip at any time, including after the commencement of your trip, with no right of refund if your medical condition and/or disability could be reasonably expected to affect the normal conduct of the tour and the safety and enjoyment of other participants.
We do not allow travellers under the age of 18 years.
You declare and warrant that:
1. You are in good health and mental and physical fitness at the time of booking this tour;
2. You have disclosed to WEA every matter concerning your health and mental and physical fitness of which you are aware, or ought to reasonably be expected to know, that is relevant to WEA decision to permit you to go on the adventure tour;
3. Immediately upon any adverse change in your health or fitness that may be likely to affect WEA decision to permit you to go on the adventure tour, you will notify WEA in writing of any such adverse change;
4. WEA are permitted to disclose medical information to our consultant doctor.
5. WEA and Adventure Out Loud Pty Ltd consultant doctor may exclude you from a tour if he/she deems it necessary. You acknowledge that the obligation to disclose under this condition continues from the time of booking the tour through to departure and extends for the duration of the tour;
6. You have taken the necessary precautions to immunise/vaccinate for the destination you are travelling to. If you fail to comply with the duty of disclosure in this condition and if WEA would not have permitted you to undertake the tour, or continue participation of the tour, had you made full disclosure under this condition, WEA will not be held liable.
8. Tour leaders
WEA and Adventure Out Loud Pty Ltd reserve the right to cancel any tour prior to departure. In this condition, ‘tour leader’ includes both the nominated tour leader and any other nominated person given at any time the task of leading or supervising any aspect of the tour.
WEA and Adventure Out Loud Pty Ltd tour leaders take their responsibilities seriously and if for any reason a tour leader believes, in his or her absolute discretion, that you should not participate in the tour, before your departure, even if you pass your medical, he/she may exclude you from the tour.
If for any reason during a tour the tour leader considers you should not participate further due to you committing an illegal act, or in the opinion of the tour leader, your behaviour is causing or is likely to cause danger, distress or annoyance to others, or your fitness or health is inadequate, he or she may direct you not to continue and you must follow the nominated tour leader’s instructions. In this case, you will not be entitled to any refund. Travel insurance may compensate you depending on the circumstances.
WEA and Adventure Out Loud Pty Ltd reserve the right to change, at any time, the tour leader of any tour. If that happens, WEA and Adventure Out Loud Pty Ltd will try to ensure that the alternative tour leader has expertise commensurate with that of the original tour leader. Any such change by WEA and Adventure Out Loud Pty Ltd will not give rise to any right on your part to cancel the tour or claim any expenses, loss or damage which may be suffered.
9. Cancellation by WEA or Adventure Out Loud Pty Ltd
WEA Adventure Out Loud Pty Ltd reserves the right to cancel a departure and will advise you of such cancellations no later than 30 days before the tour departure date, unless cancellation occurs within 30 days of departure, in which case you will be notified as soon as possible.
If due to ‘Force Majeure’ or government travel advice, WEA and Adventure Out Loud Pty Ltd reserve the right to cancel or postpone a departure at any time. With any form of cancellation, WEA and Adventure Out Loud Pty Ltd will do their best to offer you alternative arrangements if available. If the price of your alternative adventure is of lower value than the original booking, we will refund the difference, less any charges, to you.
If you do not accept the alternative arrangements, a refund will be granted at the sole discretion of WEA and Adventure Out Loud Pty Ltd. If cancellation is due to ‘Force Majeure’, government travel advice, a pandemic or a similar event that results in an inability to safely operate the tour, no refunds will be offered.
If you are offered a refund, it will be subject to condition 22 and will be less unrecoverable costs and your $3,000 non-refundable deposit. WEA and Adventure Out Loud Pty Ltd will not be liable for any incidental expenses that you may have incurred as a result of your booking being cancelled, including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.
10. Force majeure
WEA and Adventure Out Loud Pty Ltd will not be liable for any delay in, change to or cancellation of tours due to ‘Force Majeure’. ‘Force Majeure’ is defined as any circumstance beyond the reasonable control of WEA and Adventure Out Loud Pty Ltd and includes, but is not limited to, war or threat of war, riot, civil strife, terrorist activity, industrial dispute, disease, industrial or nuclear disaster, adverse weather conditions, fire and strikes. WEA and or its third party reserve the right either before or during the course of the tour to refuse to carry or accommodate any client which it reasonably considers, in the light of the best interests of all participants within the tour group and crew, to be unsuitable by reason of physical or mental condition or unruly behaviour.
11. Cancellation due to small tour numbers
WEA and Adventure Out Loud Pty Ltd reserves the right to cancel any tour prior to departure in the event that there are too few people booked on a tour in which case you will be given a full refund of the tour price paid by you. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport and airline taxes).
We require a minimum of 6 adventurers to confirm each tour. If numbers fall to 6 or below, we reserve the right to cancel, or change dates of the tour or refer you to another existing tour. Tour numbers are regularly reviewed, and we will notify you of any cancellations no later than 30 days prior to your selected departure date. If numbers for your selected tour decrease below 6 people, you may be required to pay a small group fee should you wish to proceed with the tour. This does not happen often, so if you have any questions regarding this please don’t hesitate to contact us.
12. Itineraries and publications
Itineraries and other details are published in good faith as statements of intention only and reasonable changes in the itinerary and related items may be made where deemed necessary or advisable by WEA and Adventure Out Loud Pty Ltd. The information contained in WEA and Adventure Out Loud Pty Ltd brochures, itineraries, and internet site is, to the best of WEA and Adventure Out Loud Pty Ltd belief, correct at the date of publishing.
13. Route changes, postponement, cancellation or delay
WEA and Adventure Out Loud Pty Ltd reserve the right to:
a. Cancel or modify any routes within the tour or objectives set out in the itinerary; or
b. Substitute different or equivalent routes within the tour in place of cancelled or modified routes, or
c. Postpone, cancel or delay (either in relation to the departure or arrival times or the duration of the tour) any such aspect of the tour if, in the absolute discretion of WEA and Adventure Out Loud Pty Ltd, it is necessary to do so due to inclement weather, snow or icy conditions or conditions that are otherwise likely to be hazardous or dangerous or due to any other adverse or threatening conditions whether political or military or terrorist or otherwise or if, in the absolute discretion of WEA and Adventure Out Loud Pty Ltd, there is a likelihood of any such event occurring which may impact upon the safety of the participants, or if an act or omission of a third party prevents the tour or the aspect of the tour being undertaken in accordance with your booking or for any other reason considered necessary by WEA and Adventure Out Loud Pty Ltd.
In the event of any change, modification, cancellation postponement or delay under this condition, you acknowledge that you will have no right of refund of the tour price (whether in whole or in part) and no right to claim compensation for any injury, loss or damage or other additional expenses incurred by virtue of the change, modification, cancellation postponement or delay. WEA and Adventure Out Loud Pty Ltd also reserves, in its absolute discretion, the right to cancel any tour due to any government travel warning or advice, or any change in such warnings or advice. Travel insurance may compensate you depending on the circumstances.
14. Tour prices
Package prices are per person based on ground costs, fuel prices, exchange rates and assumptions made at the time of printing the brochure. WEA and Adventure Out Loud Pty Ltd try their utmost not to increase tour prices, however, sometimes increases are outside our control.
WEA and Adventure Out Loud Pty Ltd reserve the right to amend tour prices without notice at any time before and including the departure date. Amendments may be necessitated for many reasons including, but not limited to, exchange rate fluctuations, increased fuel costs, airfares, airport charges, increases in ground operator service fees, increased permit costs or taxes or the need to engage alternative air or ground operators. Any increase in tour prices must be paid prior to the departure date.
15. Proof of citizenship or information required to travel
It is your responsibility to obtain proper identification or proof of citizenship as required by the authorities of the destination to which you are travelling. You will not be entitled to a refund if you are denied boarding or entry on any basis, including without limitation, improper documentation or failure to provide information. It is recommended that your passport is valid for six months beyond the date of your return home to your home country.
16. Exclusions from tour price
Without limitation, the following items are excluded from the tour price:
a. International flights;
b. Personal travel insurance;
c. Visa, passport and vaccination charges;
d. Extra meals, transport costs, accommodation costs, or other expenses not included in the itinerary; laundry, postage, personal clothing, medical expenses & items of a personal nature; emergency evacuation and/or emergency search charges;
e. Additional expenses caused by delay, accidents or disruption of planned itineraries;
f. Tips, on-board beverages and excess;
g. Payment transaction fees; and
h. Personal expenses
17. Airlines and other transport providers
Any material published by WEA and Adventure Out Loud Pty Ltd, the Registration Form and these conditions of contract are not issued on behalf of, and do not commit any airline whose services are used or proposed to be used in the course of the tour. In the event that an airline’s proposed travel or fare schedule is amended or cancelled, such amendment or cancellation will not be considered a cancellation of the tour by WEA and Adventure Out Loud Pty Ltd. Any flights or other transport forming part of the tour arrangements are subject to the conditions of the carrying airline or other transport entity, which in most cases limits the airlines’ or other transport entitys.
18. Assumptions of risk
You understand and will accept that your proposed tour may expose you to inherent dangers. Only people in good physical and mental condition should undertake this tour. Our tours are physically and mentally challenging and you will be required to consult with your doctor and ensure that your health is sound and you are able to undertake a rigorous training program as necessary to complete this tour. You must accept that you will be travelling through remote areas where external assistance may be delayed or unavailable if an unforeseen event occurs. This may be due to medical, weather or political situations and may affect you or other members of the group or our guiding crew. You must understand and accept that a medical emergency in this remote area may be life-threatening and by completing your booking form you accept these potential adverse and unfavourable conditions and potential life-threatening situations as your choice.
You acknowledge and agree that:
a. By the very nature of adventure travel and trekking holidays, they are more challenging and demanding with a commensurately higher level of risk compared with conventional holidays, and involve potential exposure to injury and possibly death;
b. In the countries and regions in which adventure travel is undertaken, standards of accommodation, transport, health care, hygiene, safety and service provision generally are often not as high as those standards in your country of residence and may require flexibility and patience on your part;
c. The additional dangers and risks associated with adventure travel may include difficult and dangerous terrain; high altitude; extreme weather, including sudden and unexpected changes; political instability; remoteness from normal medical services and from communications; and evacuation difficulties in the event of illness or injury;
d. The enjoyment and excitement of adventure travel is derived in part from the inherent dangers and risks associated with adventure travel and that those inherent dangers and risks are a reason why you wish to undertake the adventure tour; and
e. You have submitted your booking for the tour after giving due consideration of relevant travel information including, without limitation, any relevant information or advice given by the governments of Australia, New Zealand and Canada, the British Foreign Office and US Department of State and that it is your responsibility to acquaint yourself with that information or advice. For the above reasons you therefore accept the inherent and increased dangers and risks associated with the proposed adventure tour and the accompanying risk of injury, death or property damage or loss.
f. You will sign and return a waiver form before you depart for your adventure.
COVID travel waiver
As the worldwide COVID-19 coronavirus pandemic remains ongoing at this time, you acknowledge that for this reason, and other reasons not reasonably foreseeable at this time, your travel plans may be interrupted or cancelled by WEA and Adventure Out Loud Pty Ltd, a government entity or other third party over which WEA and Adventure Out Loud Pty Ltd has no control. You further acknowledge that the WEA and Adventure Out Loud's own cancellation, re-booking and refund policies, subject to any applicable law that is now or may later be in effect, will govern your rights and remedies, including your right to receive a refund, in such an event. Moreover, you understand that should you elect to purchase travel insurance, the terms of the policy will dictate whether, and to what extent, coverage for any financial loss may exist under the circumstances. By registering for one of our trips, you hereby agree to hold WEA or Adventure Out Loud Pty Ltd harmless and release the agency from any and all liability for any damages, including but not limited to monetary losses, you may incur as a result of such interruption or cancellation of these travel plans. By registering for one of our trips, you acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that you may be exposed to or infected by COVID-19 while travelling. Such exposure or infection may result in personal injury, illness, permanent disability, and possible death. You voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to yourself (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that you may experience or incur in connection with WEA and Adventure Out Loud Pty Ltd. As travel opens around the world, all destinations, airports, air carriers, hotels, restaurants, transfer companies, car rental companies, shops and excursions have established COVID-19 safety measures and precautions which may change from day to day. These safety measures may include but are not limited to curfews, attraction closings and reduced hours, size of group gatherings, social distancing requirements, health screenings, self-quarantine requirements and COVID test results. By registering for one of our trips, you accept ultimate responsibility for yourself and your travelling party to have all the necessary provisions for travel (such as COVID test results, pre-travel questionnaires, etc.) Moreover, you understand that you should assume responsibility for the necessary documents (such as COVID test results, pre-travel questionnaires, etc.) considering COVID-19, in order to travel to my specific destination.
Stay Safe Procedures: WEA and Adventure Out Loud Pty Ltd are taking important measures to limit the transmission of COVID-19.
Before attending an adventure, you may be asked to:
*Provide proof of Covid-19 Vaccination
*Complete a RAT test 24 hours prior to departure, and complete the online Health Assessment (will be forwarded to you via email)
*Stay home if you or your family are unwell, or you have been advised to isolate
*Wash your hands and use hand sanitiser often
*Continue to social distance

19. No liability
You acknowledge and agree that:
a. Where WEA and Adventure Out Loud Pty Ltd acts as a booking agent for third-party tour operators it accepts no liability for the acts or omissions of those third-party tour operators and does not authorise any suppliers including hotel management to promise refunds on our behalf;
b. Operational control of the tour may be in the hands of a third party and that your right of action in regard to any shortcomings of that third party’s performance is against the third party and not against WEA or Adventure Out Loud Pty Ltd;
c. WEA and Adventure Out Loud Pty Ltd will not be liable for any breach of any law by any person with whom you travel on the tour; and
d. You may not rely on any representations concerning the tour made by WEA and Adventure Out Loud Pty Ltd, which are not contained in these conditions.
20. Release and discharge of liability
To the extent permitted by law, by accepting the additional inherent dangers and risks associated with the tour, you release, waive and discharge all WEA and Adventure Out Loud Pty Ltd representatives from all claims, actions or losses for personal injury or death, property damage, loss of services, loss of profits, consequential, exemplary, indirect or punitive damages or otherwise which may arise:
a. Out of or occur during your travel in connection with the tour or any activities conducted in conjunction with the tour unless caused by the reckless conduct of WEA or Adventure Out Loud Pty Ltd representatives, or
b. In connection with any optional activities which you may undertake during the course of your tour but which do not comprise part of your tour itinerary and you accept that any assistance given to you by WEA or Adventure Out Loud Pty Ltd representatives in arranging such optional activities will not render the WEA or Adventure Out Loud Pty Ltd representatives liable to you in any way.
21. Australian Consumer Law
Under the Australian Consumer Law, statutory guarantees apply to the supply of recreational services of the kind offered by these terms and conditions. “Recreational services” is defined as including activities that involve a significant degree of physical exertion or risk undertaken for the purposes of recreation, enjoyment or leisure. These guarantees mean that WEA and Adventure Out Loud Pty Ltd, as the supplier, is required to ensure that the recreational services it supplies to you are rendered with due care and skill and are fit for their intended purpose.
Under the Australian Consumer Law, WEA and Adventure Out Loud Pty Ltd, as supplier, is entitled to ask you to agree that these statutory guarantees will not apply to you. If you sign this form you will be agreeing that your rights under this agreement, if you are killed or injured because the services provided were not rendered in accordance with these statutory guarantees, are excluded, restricted or modified in the way set out in this condition.
To the extent permitted by law, you hereby exclude, release and forever discharge all WEA and Adventure Out Loud Pty Ltd representatives from all liability for any and all claims, loss, damage, cost or expense arising from your death or your suffering physical or mental injury or any other condition, occurrence, activity, form of behaviour, course of conduct or state of affairs as specified in section 139A of the Competition and Consumer Act 2010 (except in the case of liability arising from the reckless conduct on the part of the WEA or Adventure Out Loud Pty Ltd representatives) and connected with your participation in the recreational services which comprise the tour.
22. Cancellation, amendments, quotations and transfers deposit & final payment
Payment schedule
Your payment schedule will be outlined in the quote section of your invoice.
Please note that a non-refundable $3,000 deposit is required to secure your place on the tour, and no bookings will be confirmed until the deposit is received by WEA. This may result in you missing the opportunity to be involved, so we suggest you book and pay early. Once your deposit is received, your tour place & price is secure.
Payment plans
Monthly payment plans may be available, and you should request this option when you book. Management reserves the right to charge an administration fee for payment plans of up to 5% of your total tour fee plus any credit card or paypal fees as appropriate.
Payment methods
Payment can be made by direct debit (no fee). Payment by Paypal, credit card (Visa & Mastercard only), 3% surcharge. This surcharge is based on the average expected cost of the credit card transaction to WEA.
Cancellation
Notice of cancellation must be received in writing and sent to info@womenembraceadventure.com.au. If it becomes necessary for you to cancel your trip, the following cancellation fees will apply:

More than 180 days before departure
Full deposit is forfeited plus any additional fees and booking costs
120 – 179 days before departure
25% of total fee, Full deposit is forfeited plus any additional fees and booking costs
90 – 119 days before departure
50% of total fee, Full deposit is forfeited plus any additional fees and booking costs
60 – 89 days before departure
85% of total fee, Full deposit is forfeited plus any additional fees and booking costs
Less than 60 days before departure
100% of total fee, Full deposit is forfeited plus any additional fees and booking costs
Please note the above is a guide only and may vary depending on what has already been booked for your participation in the tour itinerary. Cancellation fees may increase to cover these unrecoverable costs (examples of unrecoverable costs include, but are not limited to, gorilla & chimp permits that are non-refundable and cannot be transferred). Cancellation fees are in addition to the non-refundable deposit.
Depending on your reason for cancellation, you may be entitled to make a travel insurance claim. We will gladly assist you with this claim by providing a letter summarising the tour costs you have incurred/forfeited as a result of your cancellation.
23. Severance of conditions
If any part of a condition is illegal, unenforceable or invalid, it is to be treated as removed from the conditions, however, the remainder of the conditions are not altered.
24. Travel outside of tour dates
WEA and Adventure Out Loud Pty Ltd accept no responsibility for travel by participants outside of the official tour dates set out in your itinerary and this agreement, including, but not limited to, international flights and transfers. All costs incurred during this travel will be the responsibility of each participant.
28. Acknowledgement
In booking and ticking you agree to these terms and conditions, you acknowledge that you have read, understood and accepted the conditions of contract accompanying the booking and the obligations set out in the conditions, particularly those relating to the release and discharge of liability (condition 20).
